The companies in the JDA Group (John Davidson & Associates Pty Ltd, Wokman Pty Ltd and PT JDA-Harsono) are committed to ensuring the privacy of your personal information, as we know how important this information is to you.
Our business is facilitating the recruitment of staff or contractors for a client. In order to do this, we need to obtain personal information from you, including your name, contact details, qualifications, skills and work experience. We would also seek to know more about your career aspirations, interests and perhaps your family situation. Our objective is to satisfy the needs of both the client and the candidates in filling employment opportunities.

1. Collection of Data
When you send us your personal details in response to an advertisement for an employment position, or if you send it so that we can keep it for future opportunities, your information is stored electronically or as hard copy. It is important that this information is kept up to date to improve your chances of finding satisfactory employment.
As part of the selection process, we might be obliged to make contact with referees, whose names you have supplied, or from other persons who might have known you in your career.
Should you require access to your personal information this can be easily arranged by contacting us, by email, phone or fax, subject to the restrictions stated in the National Privacy legislation.
2. Use and Disclosure of Data
Initially, access to data is restricted to staff of the JDA Group of Companies.
When clients ask us to advertise positions and we subsequently receive responses, search consultants review the personal information sent to us and create a shortlist of candidates. As well, we review the information contained in our established database of information on past and possible candidates. Before we add names to the shortlist from this second group, we contact individuals to establish their preliminary interest in the position. Sometimes we are unable to disclose the company or the location of the operation. The information on a candidate supplied to the client will show name, CV and other relevant information judged to be of value in promoting the candidate. At this stage, contact details of the candidate are not always given to the client by JDA.
Sometimes, the client does not want the position advertised and we search our database to find a shortlist. Again, these candidates are contacted to gauge their interest in the position before the client receives our list, with or without contact details.
When the client decides on a group of candidates they want to interview, we contact the candidate to arrange the interviews and also would advise the client of any further information they need to proceed with the selection.
We supply personal details to our clients for recruitment purposes. We do not supply personal details to other organisations or for other purposes. (e.g. for marketing)
3. Data Quality
We endeavour to maintain quality, up to date information on candidates and clients on our database. To achieve this, we strive to make regular contact with candidates, but must rely on them to furnish us with updates, particularly of changes in positions.
4. Data Security
Your personal data is stored electronically and on hard copy at JDA and access is restricted to JDA staff. When your information is passed on to a prospective employer, with your permission, they then have access to and use of that data for selection purposes. JDA specifies that they comply with National Privacy Principles in their use of your information, as a condition of acceptance of the information.

JDA has internal procedures regarding the appropriate use of candidate data. Should you wish, we will let you know, generally, what sort of personal information we hold, for what purposes and how we collect, hold, use and disclose that information.

Should you wish, we will provide you with access to your personal information, subject to the restrictions stated in the National Privacy legislation.
If the information is found not to be accurate, complete and up-to-date, we will take steps to correct the situation.
7. Identifiers
JDA uses its own codes as identifiers and does not use Commonwealth Government identifiers for any purpose.
Where it is necessary for JDA to comply with legal obligations, we do disclose identifiers supplied by candidates to the appropriate individual or agency. (e.g. TFN for contract employees.)
8. Anonymity
Should a candidate prefer to remain anonymous during early discussions with a client, this will be acceded to. However, the stage will be reached where this is no longer appropriate if the selection process is to continue.
9. Transborder Data Flows
National Privacy legislation restricts the transfer of personal data to countries which do not have similar principles for the fair handling of information to the Australian National Privacy Principles. This is subject to a number of exclusions, including cases where the individual consents to the transfer.
JDA has offices in Australia, Papua New Guinea and Indonesia and has placed people in positions in many countries throughout the world. A number of them would not have privacy principles meeting Australian standards.
When you apply for an advertised position through JDA, you are accepting that your personal information could be sent to such a country. If there are countries to which you do not wish to have your data sent to, you must indicate this in your initial contact with us.
When you become aware of the country in which a position is located and you have reservations about sending your information to that country, you may inform the JDA representative that you do not wish to proceed in the consideration of the position. Otherwise, if your name has been selected through a search of the JDA database, you must agree to your information being transferred at this stage.
